We are looking for a highly organized, proactive, and detail-oriented Administrative Assistant to join our team. This role involves supporting and controlling administrative activities across multiple departments, contributing to the structure and efficiency of internal operations.
The selected candidate will be responsible for maintaining up-to-date and reliable information in internal systems, supporting operational routines, and collaborating with the accounting, finance, tax, HR, procurement, and quality teams.

Functions and Competencies
- Handle internal and external inquiries (in person and by phone), providing appropriate direction and follow-up.
- Issue, record, and verify invoices (sales, purchases, and service-related).
- Organize and manage both physical and digital documents to ensure traceability and compliance.
- Support accounting and financial routines including data entry and reconciliations.
- Assist in procurement-related tasks: placing orders, managing inventory, liaising with suppliers.
- Coordinate training sessions, internal events, and corporate travel logistics.
- Keep customer, product, and supplier records updated.
- Prepare and update administrative, financial, and HR reports.
- Maintain office organization, supplies, and documentation flow.
- Enter and manage records in internal systems (ShopControl, Vtiger, Excel spreadsheets).
Requirements
- High school diploma (technical or undergraduate studies in progress in Administration, Accounting, or related fields will be an asset).
- Intermediate knowledge of Excel and Word.
- Previous administrative experience is a plus.
- ERP system knowledge is desirable.
- Strong organizational skills and ability to handle multiple tasks effectively.
